How do I create a digital guidebook for my vacation rental?

A good guidebook is just everything a guest would otherwise message you to ask, written down once. Build it around the questions you already get on repeat, not around impressing anyone, because the goal is that a guest at 11pm can find the thing themselves instead of texting you.

The sections that carry their weight:

  1. A short welcome and quick orientation to the place
  2. Check-in and checkout: times, access, what to do the moment they arrive
  3. WiFi (network and password) and whatever streaming's on the TV
  4. The appliances and their quirks: the oven that runs hot, the dishwasher tablet drawer, the temperamental coffee machine
  5. Heating and cooling: where the thermostat is and how to not fight it
  6. Laundry, if there is any
  7. Outdoor bits: pool, hot tub, BBQ, garden rules
  8. Local recommendations you'd actually give a friend, plus the nearest real grocery shop
  9. Getting around: parking, transit, the airport
  10. Emergency contacts
  11. A short checkout list

For format, you can build a PDF in Canva or Google Docs, use a dedicated app like Touch Stay or Hostfully, or hand the same notes to a concierge and let guests ask it directly. That last one is worth calling out: nobody scrolls a 20-page PDF at midnight looking for how the hot tub works, but they'll happily type "how do I turn on the hot tub?" and get the one line they need. Whatever the format, the content is the same work, and it's the work that makes every other part of hosting easier.
