How do I automate my Airbnb guest communication?

By HostPal Editorial TeamUpdated Jul 14, 2026

You've got three realistic options, and they climb in what they can actually handle.

The free floor is Airbnb's own scheduled messages. You pre-write a booking-confirmation note, a check-in note, a checkout reminder, and Airbnb fires them on a timer. It's genuinely useful for the predictable moments, but it only lives on Airbnb, and it can't answer a question; it just sends whatever you wrote regardless of what the guest asked.

A step up is the templates inside a PMS like Hostaway, Guesty, or iGMS. Same idea, triggered by booking events, but now spanning your channels in one place. Still template-only, though. The 11pm "the code isn't working" gets you nothing.

The third option is AI messaging, which actually reads the message and replies from your property notes, in the guest's language, and pings you when it hits something it can't answer. HostPal does this on WhatsApp and Telegram: the guest taps a link from your welcome message and reaches the concierge directly, so you're not tied to any one booking platform's inbox.

Setting it up runs roughly like this: add the property, paste in your guidebook or notes, connect a WhatsApp or Telegram channel, and drop in your Airbnb iCal link so it knows who's arriving when. Then watch the first handful of conversations and patch whatever it got wrong. The heavy lifting isn't the software, it's writing down what you know about the place, which is the part most hosts have never actually done.
