By accessing or using HostPal ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. If you are accepting these Terms on behalf of an organisation, you represent that you have authority to bind that organisation.
HostPal provides AI-powered guest communication tools for short-term rental hosts. The Service includes automated message handling, knowledge management, and team collaboration features. Reply content is generated by large language models and may contain errors — see Section 8.
You must provide accurate information when creating an account. You are responsible for maintaining the security of your account credentials and for all activity under your account. You must be at least 18 years old or the age of majority in your jurisdiction to create an account.
You agree not to use the Service to: send spam or unsolicited messages; violate any laws; infringe intellectual property rights; transmit harmful content; circumvent identity verification, payment, or anti-fraud measures of any third party (including Airbnb, Booking.com, Stripe, Twilio, or Meta); operate a property in breach of local short-term rental regulations; impersonate any individual or entity; probe, scan, or attempt to breach the security of the Service; host or transmit malware; or resell, sublicense, or white-label the Service without a written agreement. The full list of prohibited uses is in our Acceptable Use Policy; both this Section 4 and the AUP apply.
Your use of the Service is also governed by our Privacy Policy. You retain ownership of your data. We process it only to provide the Service. When you process Personal Data of guests through the Service, you are the data controller and HostPal acts as a data processor on your behalf under our Data Processing Addendum (available on request from [email protected]).
Paid plans are billed monthly or annually. You can cancel at any time. Refunds are not provided for partial billing periods. Downgrades take effect at the end of the current billing period.
HostPal is a communications and information layer. It is not a physical security service. You retain sole responsibility for: physical access control (locks, keys, lockboxes, smart-lock provisioning, key rotation between guests, key recovery); the operational decision to rotate or not rotate access codes between guests; the accuracy of property notes, knowledge base contents, restricted-topic configuration, and emergency contact information; compliance with local short-term rental laws (registration, tax collection, fire/safety, guest registration); appropriate property and liability insurance.
HostPal verifies a guest only by the messaging channel they use (WhatsApp phone number, Telegram chat ID). HostPal does not verify whether the person messaging the channel is the named reservation holder. Hosts requiring strong guest-identity binding should use smart-lock providers that issue per-reservation PINs.
The Service uses large language models to generate replies on your behalf. You acknowledge and accept that LLM-generated content may contain inaccurate, outdated, or fabricated information ("hallucinations"), may misclassify a guest's intent, may fail to escalate a situation that you would have escalated manually, and may be manipulated by adversarial inputs notwithstanding our defences. See /legal/ai for more.
You are responsible for reviewing bot replies, configuring escalation rules appropriate to each property, and using AI_ASSIST or HUMAN mode where automated reply is not appropriate. The Service is not a 24/7 monitored emergency response line.
Articles, guides, comparisons, regulatory summaries, and any other editorial content published on hostpal.co (including the blog, /guides, /compare, /reports, /templates, /airbnb-regulations sections, and any educational material) are provided for informational purposes only. They do not constitute legal, tax, financial, regulatory, or other professional advice, and must not be relied upon as a substitute for advice from a qualified professional.
Some editorial content is drafted or substantially edited by AI systems and verified against publicly available sources by automated fact-checking pipelines. Despite these safeguards, content may contain inaccuracies, may be out of date, or may not reflect the most current law, regulation, or platform policy applicable to your situation. Regulations and third-party platform rules (Airbnb, Booking.com, Vrbo, payment processors, tax authorities) change frequently, often without notice.
Before making any compliance, financial, tax, or operational decision based on our editorial content, you must independently verify the current rules with the relevant authority (national tax office, municipal STR authority, platform terms of service, or a qualified legal/tax professional in your jurisdiction). HostPal makes no representation or warranty as to the completeness, accuracy, or current applicability of any editorial content. To the maximum extent permitted by law, HostPal disclaims all liability for any loss, fine, penalty, delisting, or other consequence arising from reliance on editorial content without independent verification.
Each article includes a "Last reviewed" date. Articles older than the content's subject matter may be substantially out of date even if the date appears recent. Linked third-party sources are provided for your convenience; we do not endorse and are not responsible for third-party content.
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE". TO THE MAXIMUM EXTENT PERMITTED BY LAW, HOSTPAL DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, ACCURACY OF AI-GENERATED OUTPUT, UNINTERRUPTED OPERATION, AND ABSENCE OF VULNERABILITIES. HostPal does not warrant that the Service will be error-free, secure against all attacks, or that AI-generated replies will be correct, appropriate, or fit for any specific purpose.
TO THE MAXIMUM EXTENT PERMITTED BY LAW, HostPal's aggregate liability under or in connection with these Terms in any 12-month period shall not exceed the amount you paid to HostPal in the 12 months preceding the event giving rise to the claim. HostPal shall not be liable for any indirect, consequential, incidental, special, or punitive damages, including without limitation loss of profits, revenue, data, goodwill, or business interruption.
HostPal shall not be liable for damages arising from: (a) inaccurate AI-generated content; (b) unauthorised physical access to your property; (c) loss or theft of property by any party; (d) actions or omissions of any guest, contractor, or third party; (e) any sub-processor's act or omission outside HostPal's reasonable control; (f) force majeure events.
You shall indemnify, defend, and hold harmless HostPal, its officers, directors, employees, and agents from any claim, loss, liability, or expense (including reasonable legal fees) arising from: your breach of these Terms or the Acceptable Use requirements in Section 4; your violation of applicable law; your submission of inaccurate or unauthorised content (including knowledge base entries, access codes, property descriptions); any dispute between you and a guest; your failure to maintain adequate physical security at the property.
We may suspend or terminate the Service immediately for: non-payment, breach of these Terms, breach of the Acceptable Use requirements, regulatory or legal requirement, or risk of harm to the Service or other users. You may cancel at any time from the dashboard.
Neither party is liable for failure or delay caused by events beyond reasonable control, including but not limited to: natural disasters, war, terrorism, cyberattack on third-party infrastructure, governmental action, internet or telecommunications outages, pandemic, or labor disturbance.
We may update these Terms. Material changes will be communicated by email and in-app banner at least 30 days before they take effect, except where a faster change is legally required. Continued use after the effective date constitutes acceptance.
If any provision of these Terms is held unenforceable, the remainder remains in effect.
